How much does a background check cost?

Cost depends on your state and county (additional mandatory fees may apply). The difference depends on the reliability of the information for that state and county in the national database. If the search is conducted in a state or county that doesn’t report all its criminal records to the national database, it may be necessary to run both a national search and a local county or statewide criminal search to get accurate data.

Protect My Ministry has come up with a minimum recommendation depending on what state and county you and the prospective volunteer are located in. For some locations where the states do provide reliable data to the national database, the minimum recommendation is a BASIC Package. For other locations, the minimum recommendation is a PLUS (county or statewide) Package.

What criteria should your ministry require for a background check?

There is no one answer to this question since there is no national requirement for all states to keep standardized records. The data available in the many databases available for search is not equally maintained and accessed by each state. That’s why it′s critical that you work with a credible background screening company like Protect My Ministry.

What is a background check?

A background check is a "records" screening of an individual which can be as small as a one-county check or as in-depth as a security clearance investigation. Public and private records can be searched once the applicant’s consent is given.

Will individuals receive a copy of the background check run on them?
That will be up to the church conducting the background check. If adverse information does show up that would disqualify an individual from volunteering, we strongly suggest that you share that information with the individual and give him/her an opportunity to contest the accuracy of that information. Protect My Ministry provides an opportunity for churches to request further review of records when someone contests the accuracy of the results.
How often should background checks be performed?

Standard policy is to screen volunteers every one to three years.

How long does it take for the background checks?
Turnaround time on submitted requests is typically around 48 hours. The industry standard is 72 hours.
Will any type of prior arrest, conviction or other psychological issue disqualify an individual from being able to serve in ministry?

Not necessarily. Convictions that automatically disqualify an individual from serving may include:

  • Any history of a sexual crime, especially those against children.
  • A crime of violence against another person within the past seven years.

If the background check turns up potentially disqualifying information about an individual, it will come back as an "Alert.” Your leadership should review alerts on a case-by-case basis to determine if they are disqualifying. You will need to decide whether past behavior, combined with other data available about the individual, reasonably suggests that this person could pose a danger of sexually or physically abusing children. If the answer is "yes," that person should not serve.

How will the information be kept that is obtained from the background screening?

We recommend that you keep any information confidential received through a background check. You may keep it in a confidential file, and it should only be released to individuals who are authorized to review the information, such as the leaders and church pastors.

What if an individual refuses to submit to a background check?
That individual may not be allowed to serve in ministry.
Who reviews the background screening materials and makes the final determination if an individual is approved?
In most cases, review is performed by appointed individuals within the church. In many cases, ministry leadership is responsible for reviewing the screening materials with volunteers, conducting any necessary follow-up questions and determining whether a volunteer may serve. This job may be performed by a pastor, staff member or a volunteer.
What if an individual committed a sexual crime many years ago but has since become a Christian and/or hasn’t engaged in that behavior again?
While we celebrate the transformation of someone who has committed sexual abuse against children, we must put the needs of children first. The children entrusted to our care should never be exposed to individuals who have a known dangerous history. To avoid liability, no one with a history of sexual abuse should be allowed to serve in ministry with children or youth.
Is the background check for volunteers similar to those done for paid employees?

Yes. In fact, all staff and employees of the church or ministry, including its senior pastor, should pass an even more rigorous criminal background check, including employment and education verifications, driving history and credit history searches.

Should all volunteers go through the background screening or is it only for those working with children?
We suggest that you screen all volunteers.

Churches have an obligation to exercise “due diligence” in protecting their members, especially children. By performing background checks on your volunteers, your ministry:

  • Establishes a safeguard that will, in many cases, scare off sexual predators.
